How to Create an Event Floor Plan

Step 1

Gather Information About Your Venue

Get key dimension information for your event space or venue. Get the size of rooms, entryways, and fixed features like columns or stage area.

Step 2

Start with an Event Floor Plan Template

Choose the Event Plan floor plan template under the Floor Plans - Commercial category on your SmartDraw Dashboard. This template has all the tools and symbols you'll need to create an event plan layout.

Step 3

Draw Walls

Create an outline by adding walls for each room of the building.

SmartDraw makes it easy to drag walls to adjust them or just type the length directly into walls to modify them. Once you've created an outline for your room or house, click on a wall and you'll see two types of growth handles appear. The handle with an up and down or right to left arrow will allow you to move your wall inward or outward vertically or horizontally. The handle at the corners where walls meet will help you adjust your wall diagonally by letting you move the placement of the corner.

Step 4

Add Architectural Features

Begin adding features to the space by including the unchangeable things, like the doors, windows, columns, stairs, the stage, and so on.

Step 5

Import an Existing Venue Plan

Alternatively, you can start your event plan layout by importing a floor plan of your event space. Go to Insert and choose an image or PDF. Once imported, you'll want your imported image to match the scale of your drawing. This knowledge base article will walk you through that process.

Step 6

Add Tables and Chairs

To finalize seating arrangements drag and drop tables and chairs to set up your space. Add symbols for any additional areas your event requires including booths, bars, or buffet areas.

Step 7

Collaborate with Others

Invite clients or team members to give you feedback and work on your event plan in real-time. Make notes or even make changes on the fly as a group. SmartDraw is so easy to use, you can make changes in real-time.

Step 8

Print or Share Your Event Floor Plan

Once your event floor plan is complete you can insert it directly to any Microsoft Office app like Microsoft Word® or PowerPoint®, or add it to Google Docs or Google Slides.

SmartDraw also has apps to integrate with Atlassian's Confluence and Jira. You can share your event plan design in Microsoft Teams. You can also easily export your event layout as a PDF or print it.
